FreshBooks is a Canada-headquartered cloud accounting platform best known for its invoicing strength and time tracking. In the UK market it has a small but loyal following, particularly among consultants, coaches and creative freelancers who prioritise client-facing invoicing over heavy bookkeeping. Whether it is the right choice for a UK business in 2026 depends heavily on what you actually need.
Where FreshBooks excels
The invoicing experience in FreshBooks is genuinely excellent. Customisable templates, automated reminders, multi-currency invoicing, online payment integration with Stripe and a smooth client portal experience all make it easy to get paid faster. Time tracking and project profitability are built in rather than bolted on. For a service business where the primary financial pain is invoicing and chasing payment, FreshBooks delivers.
- Invoicing UX: Best-in-class templates and automated reminder workflows.
- Time tracking: Native time tracking that flows into invoices.
- Client portal: Clean experience for clients to view invoices and pay.
- Expense capture: Mobile-first receipt capture with categorisation.
Where FreshBooks falls short for UK users
FreshBooks was not originally designed for the UK accounting environment. While it has improved its UK offering significantly, including MTD VAT support, some areas remain weaker than UK-native alternatives. CIS handling, certain VAT scheme nuances (flat rate, margin schemes), payroll and the integration ecosystem for UK-specific apps all lag Xero and QuickBooks.
MTD compliance
FreshBooks is HMRC-recognised for MTD VAT. MTD ITSA support is being rolled out for the April 2026 mandate, though we have observed less pilot testing on FreshBooks than on UK-native platforms.
The honest comparison
For a UK freelancer or service business prioritising invoicing speed and client experience, FreshBooks is genuinely good. For a business needing depth in UK-specific bookkeeping, payroll or sector integrations, Xero or QuickBooks is the safer choice. FreeAgent often beats FreshBooks for UK contractors specifically because of its IR35-aware features and free NatWest bundling.
