Bokio is one of the more interesting entrants in the UK free accounting space. Originally a Swedish product, it has built a UK-specific offering aimed at micro businesses and includes a built-in payroll module on the free tier, which is unusual at that price point. At PushDigits we are regularly asked whether Bokio is a credible starting point for a new UK limited company, and the answer is nuanced.
What Bokio offers
The core platform covers the essentials a UK micro business needs: invoicing, expense recording, bank reconciliation, VAT calculation and a basic chart of accounts. It is HMRC MTD-recognised for VAT submission, which immediately puts it ahead of several free products that look attractive on price but cannot file VAT returns through Making Tax Digital.
The differentiator is the integrated payroll module. RTI-compliant payroll for a small number of employees is included, which removes the need to bolt on a separate payroll product at the earliest stage of growth. For a director paying themselves a salary or a business with one or two staff, this matters.
Strengths in the UK market
- MTD VAT filing: On HMRC's list of recognised software, so you can submit VAT returns directly.
- Built-in payroll: Avoids the immediate need for a separate RTI tool for very small headcounts.
- Bank feeds: Open Banking connections to mainstream UK banks are available.
- Free tier: Substantial functionality at no monthly cost, with paid tiers for additional capacity and support.
Where to be cautious
Bokio is a younger product in the UK than Xero or QuickBooks, and the depth of the ecosystem reflects that. Practical considerations:
- Integrations: The third-party app marketplace is much smaller than the established platforms. If you rely on Shopify, Stripe sync, Dext or industry-specific tools, check compatibility first.
- Accountant adoption: A smaller share of UK practices use Bokio day to day, so finding a bookkeeper or accountant who knows it intimately is harder than for Xero or QuickBooks.
- Reporting depth: Management reporting is functional but not as flexible as the market leaders. Tracking categories and multi-dimensional analysis are limited.
- Scaling: Suited for very small headcounts. As complexity grows, the case for migrating up to a more mature platform strengthens.
How it compares to other free UK options
Among the genuinely free UK options, Bokio's built-in payroll is its standout feature. Pandle (the free tier from Bright) is generally stronger on community and accountant adoption. QuickFile has a longer UK heritage and a passionate user base but no integrated payroll. Wave is broader internationally but weaker on UK-specific compliance. The right pick depends on whether you value the payroll integration, the user community or the depth of the broader ecosystem.
When Bokio is the right answer
Bokio works best for a UK limited company at the earliest stage of life, with a director-shareholder taking a small salary, perhaps one or two early employees, simple sales channels and no exotic VAT scenarios. As soon as the business outgrows that profile, a migration plan to a more mature platform should be on the table.
