QuickFile: The UK Free Option and When It Stops Being Viable

QuickFile has been a UK free accounting staple for over a decade. Here is what it does well, where the limits kick in, and when to plan a migration.

QuickFile has been part of the UK small business software landscape for well over a decade, long predating the current generation of cloud accounting platforms. It built its reputation on a generous free tier, a UK-first mindset and an engaged user community of freelancers, sole traders and small limited companies. At PushDigits we encounter QuickFile regularly in client onboardings, and it remains a credible option for a specific segment of the market.

What QuickFile does well

The platform covers the essentials that a UK small business needs: invoicing, purchase tracking, bank reconciliation, VAT return preparation and a respectable reporting suite. It is HMRC MTD-recognised for VAT, meaning the central question of "can I actually file my VAT return through this" has a yes answer, which is not always true of free competitors.

The free tier supports a substantial volume of transactions per year, after which the platform asks for a modest annual fee or moves the user to an affordable tier. The pricing model is genuinely lighter than the headline subscriptions of Xero or QuickBooks for small users, which is the central reason QuickFile retains a loyal user base.

The strengths to lean into

  • MTD VAT filing: Fully supported via the HMRC-recognised submission flow.
  • Customer and supplier records: Solid CRM-style functionality embedded in the bookkeeping product.
  • Receipt Hub: A built-in receipt capture and attachment workflow.
  • Open Banking feeds: Connections to UK banks are available, though coverage and refresh reliability vary by institution.
  • Community: A long-standing forum where many real questions have been answered by other users and the QuickFile team.

Where the limits kick in

QuickFile is a perfectly capable product for the segment it serves, but it is not trying to be Xero or QuickBooks. The practical limits we see clients hit are predictable:

  • Transaction volume: The free tier has fair-use limits. Once you cross them, you are paying a fee, at which point a comparison against a paid Xero or QuickBooks plan becomes legitimate.
  • Multi-user complexity: Permission granularity is more limited than the market leaders, which matters once a finance team forms.
  • Payroll: No native UK payroll module on the same scale as Xero or QuickBooks built-ins. Most QuickFile users add a separate payroll tool.
  • Integrations: A respectable marketplace but materially smaller than the Xero or QuickBooks app stores. Niche industry integrations are less likely to exist.
  • Accountant adoption: Many UK practices know QuickFile but most do not standardise on it the way they do Xero or QuickBooks, which can affect the cost and ease of working with an external accountant.

When QuickFile is the right answer

QuickFile is a defensible choice for a UK sole trader, partnership or small limited company with steady transaction volumes, simple VAT and either an accountant who is comfortable with the platform or a confident DIY approach. We see plenty of micro businesses run on it for years without issue.

When to plan a migration

We start advising QuickFile clients to consider migration when one or more of these is true:

  1. The business has graduated to a finance team of two or more, with role-based permission needs.
  2. Multi-currency or complex VAT scenarios are now part of normal operations.
  3. The integrations roadmap requires apps that QuickFile does not connect to natively.
  4. You are bringing in an accountant or bookkeeper whose practice runs on Xero or QuickBooks and the friction cost outweighs the licence savings.
  5. You are entering investor or lender conversations where standard reporting from the major platforms is expected.
